Senior Specialist Property Management

Position Purpose

The Senior Specialist – Property Management Services is responsible for overseeing and managing the operations and services related to property management. This role ensures the efficient management of properties, maintains high levels of tenant satisfaction, coordinates maintenance and repair activities, and ensures compliance with all relevant regulations and standards.

Role Description

  • Oversee the daily operations of multiple properties, ensuring they are well maintained and operating efficiently.
  • Coordinate maintenance and repair activities, ensuring timely and cost-effective solutions.
  • Implement and manage standard operating procedures for property management services.
  • Act as the primary point of contact for tenants, addressing needs, concerns, and queries in a timely manner.
  • Manage lease agreements, including negotiations, renewals, and terminations.
  • Develop and maintain positive tenant relationships to ensure high satisfaction and retention levels.
  • Prepare and manage property budgets, ensuring financial objectives are achieved.
  • Monitor and control operating expenses and capital expenditures.
  • Oversee rent collection processes and ensure timely payments from tenants.
  • Prepare financial reports including income statements, variance reports, and performance summaries.
  • Ensure compliance with all applicable health, safety, environmental, and regulatory requirements.
  • Conduct regular property inspections to identify risks and improvement opportunities.
  • Develop and maintain emergency response and business continuity plans.
  • Manage relationships with vendors and service providers.
  • Negotiate contracts and ensure services are delivered in accordance with agreed terms.
  • Monitor vendor performance and address service delivery issues promptly.
  • Prepare and present regular property performance reports to senior management.
  • Analyze property data to identify trends and areas for operational improvement.
  • Develop and implement action plans to enhance service efficiency and effectiveness.
  • Lead, mentor, and support a team of property management professionals.
  • Conduct performance evaluations and identify training and development needs.
  • Foster a collaborative, high-performance work environment.

  • Strong knowledge of property management principles and best practices.
  • Excellent organizational, analytical, and problem-solving skills.
  • Proficiency in property management systems and MS Office applications.
  • Strong financial acumen, budgeting, and cost control skills.
  • Effective communication and interpersonal abilities.
  • Ability to manage multiple priorities and projects simultaneously.

Qualifications & Experience

  • Bachelor’s degree in Real Estate, Property Management, Business Administration, or a related field.
  • Minimum of 5 years of experience in property management, including at least 2 years in a senior or supervisory role.
  • Proven experience managing a portfolio of commercial and/or residential properties.
