Timetabling Assistant Manager/ Manager

Position Purpose

To lead and manage the centralized timetabling portfolio for all the Universities in Al Ain, Abu Dhabi and the Northern Emirates, ensuring the delivery of high-quality, efficient, and customer-focused timetabling services.

The role is responsible for the strategic development, governance, operational delivery, and continuous improvement of timetabling services across all assigned universities. The Timetabling Manager will oversee stakeholder engagement, technology implementation, resource planning, service performance, and business growth opportunities while ensuring alignment with institutional priorities and Khadamat’s strategic objectives.

The position will play a key role in the implementation, adoption, and optimization of timetabling solutions and related digital transformation initiatives.

Role Description

Strategy & Leadership

  • Develop and implement strategic roadmap for centralized timetable services across all assigned universities.
  • Establish and maintain strong partnerships with senior stakeholders including Registrars, Academic Affairs, IT departments, Colleges, and University Leadership.
  • Identifying new business opportunities and expanding timetable services to new customers.
  • Lead the standardization of timetable processes, policies, and service delivery models across multiple institutions while ensuring individual university requirements are met.
  • Develop service strategies that maximize space utilization, operational efficiency, and customer satisfaction.
  • Contribute to organizational digital transformation initiatives related to academic scheduling, and resource management.
  • Provide strategic recommendations to customers regarding timetable optimization, academic scheduling policies, and space management.

Portfolio & Service Delivery Management

  • Oversee the end-to-end delivery of teaching, examination, and event timetables across all assigned universities.
  • Ensure timely production and publication of clash-free timetables in accordance with agreed service levels and customer requirements.
  • Monitor service performance and ensure achievement of operational KPIs and contractual obligations.
  • Lead portfolio planning activities, ensuring adequate staffing and resource allocation across all customer accounts.
  • Manage major timetable changes, academic restructuring initiatives, and special projects.
  • Ensure effective escalation management and resolution of complex scheduling issues.
  • Oversee quality assurance processes to ensure accuracy and integrity of timetable data and outputs.

Technology & Digital Transformation

  • Lead the implementation, configuration, testing, and continuous enhancement of timetabling software solutions.
  • Act as the business owner for timetabling systems and related integrations.
  • Work closely with IT teams, software vendors, and university stakeholders to deliver system enhancements and integrations.
  • Oversee integration initiatives with Student Information Systems, ERP platforms, and other institutional systems.
  • Promote data-driven decision-making through dashboards, analytics, reporting, and forecasting tools.
  • Evaluate emerging technologies and recommend digital innovations to enhance timetabling services.

Governance, Planning & Continuous Improvement

  • Establish governance frameworks, service standards, policies, and operating procedures across the timetabling portfolio.
  • Lead annual timetable production planning for all assigned universities.
  • Monitor portfolio-wide KPIs, service level agreements, and performance dashboards.
  • Monitor teaching space utilization and timetable efficiency metrics.
  • Lead process reviews and implement operational best practices across all customer accounts.
  • Lead business continuity planning and risk management activities for timetabling operations.
  • Ensure compliance with customer policies, contractual obligations, information security requirements, and quality standards.
  • Drive continuous improvement initiatives and implement best practices across all customer accounts.

Stakeholder & Commercial Management

  • Serve as the primary escalation point for senior customer stakeholders.
  • Build and maintain effective operational relationships with academic and administrative departments to support service delivery and continuous improvement.
  • Prepare service performance reports, project updates, and strategic recommendations to university leadership and Khadamat management.
  • Ensure customer feedback is actively captured and translated into service improvements.
  • Support budget planning and resource forecasting for the timetabling portfolio.
  • Contribute to contract renewals and commercial discussions with customers.
  • Prepare business cases for new systems, services, and strategic initiatives.

Leadership & People Management

  • Lead, coach, mentor, and develop timetabling supervisors and associated teams.
  • Establish performance objectives and conduct regular performance reviews.
  • Ensure effective workforce planning, succession planning, and talent development.
  • Lead recruitment, onboarding, and professional development initiatives within the timetabling function.
  • Foster a culture of collaboration, innovation, accountability, and continuous improvement.

HSE Job Responsibilities

Knowledge, Skills, and Experience

Essential

  • Bachelor’s degree required; Master’s degree in a relevant field preferred.
  • Minimum 8–10 years of experience in university timetabling, scheduling, academic operations, or related fields.
  • Minimum 3–5 years of leadership experience managing teams and complex service operations.
  • Curriculum planning, and space management.
  • Proven experience managing timetable services across multiple institutions, campuses, or large-scale academic environments.
  • Demonstrated experience leading enterprise-wide timetabling transformation, system implementation, or major service improvement initiatives.
  • Strong understanding of higher education timetabling, curriculum structures, academic regulations, examination scheduling, and space management principles.
  • Experience overseeing system integrations between timetabling systems, Student Information Systems, ERP platforms, or related enterprise applications.
  • Experience managing service delivery against defined KPIs, service level agreements, and contractual obligations.
  • Advanced analytical and reporting skills with the ability to interpret complex datasets and provide strategic recommendations.
  • Experience leading process improvement and service transformation initiatives.
  • Experience in budget planning, resource forecasting, and operational performance management.
  • Strong project management and change management skills.

Desirable

  • Experience implementing enterprise timetabling software solutions.
  • Knowledge of Banner, or equivalent Student Information Systems.
  • Knowledge of data analytics, Power BI, and business intelligence tools.
  • Understanding of system integrations and database structures.
  • Professional certifications in Project Management, IT Service Management, or Change Management.
  • Knowledge of Arabic language.
